Start With the Right Scope: Building an Outreach and Intake Process Around Your Firm

October 6, 2026 Nexus Legal Group

Law firms often ask for a single answer to a complex operational question: “What is the right outreach and intake model for us?” The better answer is that the right model depends on the firm.

Law firms often ask for a single answer to a complex operational question: “What is the right outreach and intake model for us?” The better answer is that the right model depends on the firm.

Your practice area, target jurisdictions, record source, permitted uses, internal intake capacity, approved contact methods, risk tolerance, marketing strategy, and attorney involvement all shape the appropriate scope.

That is why Nexus Legal Group does not begin with the assumption that every firm needs the same source, outreach channel, nonprofit component, call-center service, intake process, or pricing structure.

If your firm already has a direct source relationship, the first question is whether the records may be used for the proposed purpose and whether the firm has authority to submit selected records for optional processing support. If your firm has not selected a source, Nexus may be able to introduce the firm to an independent provider for direct evaluation and contracting.

If your firm has sufficient intake capacity, it may choose to process suitable records internally. If your team needs assistance, the scope may include selected services such as nonprofit outreach coordination, live-agent call-center support, consent documentation, administrative screening, scheduling, live transfer support, document collection, or administrative engagement support.

Before launch, the firm should identify participating entities and responsibilities; records and permitted-use basis; activated states; permitted contact methods; scripts and disclosures; retained documentation; stop conditions; intake tasks assigned to outside providers; and the attorney-review point.

A good process does not treat every record as a potential client. It creates gates, requires review, respects consumer choice, and preserves the law firm’s authority over the legal relationship.
